SARS Specialist Events Management Job Description
WANTED:
A dynamic, ambitious, experienced and professional events manager is required to assist SARS to achieve its strategic objectives. We are searching for an enthusiastic Events manager with a “can-do” attitude to assist our organization in hosting events that enhance our organization’s image, improve stakeholder loyalty, taxpayer compliance and enhance our brand-to-client experience.
The Events Manager will be tasked with researching and securing venues, planning and managing our events’ calendar, negotiating quotes and agreements with vendors, assisting with event marketing, monitoring timeframes and budgets, networking, and delivering on event brief objectives. Your creativity, organizational skills, and vision will assist our organization in amplifying brand visibility, enhancing stakeholder and employee relations, and improve our organization’s growth through events that effectively communicate SARS strategy and brand personality.
The ideal candidate for this role should demonstrate exceptional organizational abilities, superb interpersonal skills, multi-tasking skills, latest trends of events management and excellent time-management. The noteworthy Events Manager should reinforce client-to-business relations, improve the organization’s image, and effectively deliver on event objectives.
RESPONSIBILITIES
The main purpose of the role is to conceptualise, design, and create high-profile external events that portray the organization in a positive light to media, taxpayers, government departments and other key stakeholders. The incumbent will also lead the development of the organization’s annual strategy for employee events and involvements, including pioneering, creative, new tactics, and campaigns.
Minimum Qualification & Experience Required
Relevant Bachelors Degree (Preferred)/ Advanced Diploma (NQF 7) AND 8-10 years’ experience in a similar environment, of which 3 – 5 years ideally at event management specialist level.
OR
Senior Certificate (NQF 4) and 15 Years related experience.
Specific accountabilities will include, but may extend beyond the following:
- PEOPLE
- Enable a culture where information regarding successes, issues, trends and ideas are actively shared between team members.
- Provide specialist know-how, support, advice and practice thought leadership in area of expertise.
- Integrate new knowledge and transfer skills attained through formal and informal learning opportunities in the execution of your job.
- PROCESSES & GOVERNANCE
- Events coordination, from conceptualisation of themes and plans to execution
- liaise with clients to find out their exact event requirements
- manage and coordinate all role players to ensure the success of the events e.g health and safety, Executive Technical Support team for all IT related, Security, Facilities etc
- produce detailed proposals for events (including project plan/checklist with timelines, venues, suppliers, legal obligations, staffing and budgets)
- research venues, suppliers and contractors and conduct site inspections where necessary
- manage and coordinate suppliers and all event logistics (for example, venue, catering, travel)
- liaise with internal communications teams to publicise and promote the event
- manage all pre-event planning, organising guest speakers and delegate packs
- facilitate the planning of online webinars and provide guidance on the best platform and latest technology to be used to ensure successful event
- coordinate suppliers, handle client queries and troubleshoot on the day of the event to ensure that all runs smoothly and to budget
- manage a team of staff, giving full briefings
- organise facilities for car parking, traffic control, security, first aid, hospitality and the media
- make sure that insurance, legal, health and safety obligations are followed
- oversee the dismantling and removal of the event and clear the venue efficiently
- research opportunities for new events.
- liaise with SARS travel company for related events
- Producing of SARS calendar of events including key meetings e.g. Commissioner’s diary of events, annual events and forums etc
- ensuring all events are accurately and adequately branded
- produce post-event evaluation to inform future events
- produce events close-out reports
